In November 2024, a brand owner in Rhineland-Palatinate, Germany needed a compact event tent for recurring city promotion activities.

The Client’s Challenge
The main difficulty was not finding enough space.
A 3 × 3m promotion point was already large enough for the client’s information desk, promotional materials and staff.
The problem was everything around it.
The client regularly moved between city promotion locations. At the end of each event day, the tent had to be removed, packed and transported again.
Their previous aluminium-frame tent could do the job, but repeated carrying, frame assembly and pack-down created more work than the client wanted for this type of campaign.
There was also a branding issue.
The client did not want another standard promotional canopy with a logo added to it. They wanted something more recognizable in a public space, without moving into a larger or more expensive event structure.
At the start of the project, the client only had the company logo and a general idea of the finished look. There was no complete tent artwork ready for production.
So the project had four practical requirements:
- keep the footprint at 3 × 3m;
- make daily transport and pack-down easier;
- create a more distinctive branded appearance;
- stay within the available budget.
How MX EXPERIENCE Solved It
We kept the structure at 3 × 3m because there was no reason to increase the size.
The available floor area was already enough for an information desk, promotional materials and staff use. A larger tent would have added cost and transport volume without solving a real problem.
An airtight Inflatable X Tent was selected instead of another rigid-frame structure.
For this project, the finished main structure weighed approximately 15 kg and packed to around 50 × 45 × 45 cm, making it easier to handle between event locations.
The client supplied only the company logo.
MX EXPERIENCE prepared the 3D tent layout, adjusted the logo placement to suit the structure and arranged a physical logo color sample for approval. Once the color was confirmed, the flat production artwork was completed.
The first 3D proposal was approved without revisions.
An awning was also added to one side of the tent to provide more shade for staff working around the information point.
Because the event site had a paved surface, the client used sandbags rather than ground stakes.
The result was not a more complicated event structure.
It was a smaller setup that better matched the way the client actually worked.

The Client Started With Only a Logo
The client did not provide a complete production file.
They sent their logo, requested a white tent and explained the general direction they wanted.

A White Base, Branded Roof and Added Awning
The finished design stayed simple.
The client wanted a white tent with their logo used as the main visual element.
Instead of filling the structure with graphics, the branding was kept clean and easy to recognize.
The inflatable X-frame already gave the tent a different silhouette from the square aluminium canopies commonly used for temporary promotion.
An awning was added on one side to provide more shade around the staff working area.
That feature was not added for decoration. It gave the client a little more usable cover without increasing the main 3 × 3m footprint.

One Person Could Inflate the Tent in About Three Minutes
The 3 × 3m structure could be inflated by one person using an electric air pump.
Inflating the main air structure took approximately three minutes.

Positioning the tent, attaching the awning, arranging the sandbags and preparing the information area naturally required additional time.
This distinction is useful when comparing setup claims.
Some suppliers use “setup time” to describe only inflation, while others include anchoring and accessories.
For this project, the main tent itself could be inflated quickly by one operator.
No Continuous Blower During the Event
The tent used an airtight air-beam system.
Once the required pressure was reached, the electric pump was disconnected.
There was no blower running beside the tent during the event.
For a public promotion point, that kept the setup simpler and avoided having a blower and power cable running continuously around the working area.
According to the project feedback, the tent stayed inflated throughout the event day without additional inflation.
That observation applies to this project only and should not be treated as a universal performance guarantee.
Packing the Tent After the Event
Daily pack-down was one of the client’s original concerns.
After use, the structure could be deflated and folded instead of dismantling a rigid frame.
Before shipment, we also tested the pack-down process at the factory.
Using the electric air pump in reverse to assist deflation, one person could remove the air and fold the tent in approximately 10 minutes.
That figure comes from MX EXPERIENCE’s factory handling test, not from a timed test at the client’s event in Germany.
Actual pack-down time can vary according to the operator, accessories and site conditions.
Sandbags Were Used on the Paved Site
The event area had a hard paved surface, so ground stakes were not suitable.
The client used sandbags to secure the tent.
During the day, there was no reported movement, visible deformation, fabric damage or printing problem. The tent also did not require additional inflation.
These are observations from this specific project.
They are not a certified wind rating, and they should not be used to determine ballast for another site.
Ballast and anchoring still need to be selected according to the actual structure, surface, site exposure and expected weather.
Seven Days From 3D Approval to Dispatch
Once the client approved the 3D design, the project moved into production.
From that point to production completion and dispatch took approximately seven days.
The finished order was shipped to Germany by UPS.
This was possible because the configuration was relatively simple and the first design was approved without revisions.
It should not be read as a fixed seven-day lead time for every custom tent.
Different sizes, quantities, printing requirements and accessories can change the production schedule.
